Overview of Responsibilities: Accurately maintains and files member records and related documents. Understands and adheres to MSGCU's Records Management policies and procedures. Maintains integrity and efficiencies in the administration of archived records storage. Inputs and retrieves electronic records and responds to requests for member records according to service level guidelines.

Essential Duties and Responsibilities:

  • Maintains records and files for mortgage, home equity line of credit (HELOC), and consumer loans.
  • Maintains records and information for MSGCU's members in hardcopy and electronic formats. Adheres to MSGCU's Records Management policies and procedures.
  • Processes inbound and outbound USPS mail, inter-office mail, FedEx, and UPS for distribution to MSGCU's departments and branches.
  • Prepares certified mail and FedEx labels along with processing large volume of letters for mailing as requested. Maintains mailroom equipment by performing regularly scheduled inspections, cleanings, and scheduling vendor maintenance. Monitors the Records Help Desk, Records e-mail requests and phone calls to assist with research and provide support and information including account research, uploading documents, providing check copies, receipt copies, lien releases, and other documents associated with member records.
  • Prepares and oversees the shredding of records in accordance with MSGCU's records retention schedule.
  • Assists with maintaining vendor relations for records services such as shredding, courier service, FedEx, USPS, Quadient, and Doxim.
  • Assists Records Manager with researching and processing subpoenas and answering interrogatories.
  • Able to read and comprehend court orders by type and answers interrogatories to properly process garnishments and levies for member accounts in Symitar.
  • Processes transactions in Symitar such as placing holds for garnishments, address changes, and fees.
  • Assists with researching and writing proposals for Records department equipment, vendors, records applications, and services.
  • Prepares multiple reports for printing and mailing, research address changes, and audits image counts for DocuSign in Document Manager daily,
  • Assists Records Manager in Corporate Initiatives and department projects.
  • Stays current on best practices in records management through training, education, meetings, and webinars.
  • Communicates with the Records Manager and/or Records Team when necessary to keep them informed on issues that affect records processes.

Essential Preparation and Experience:

  • High school diploma or GED; and
  • 2 years of experience working in an office environment, preferably in records management.

Working Conditions:

  • Office and branch location environment with little discomfort from noise, extreme temperature, dust or other factors.
  • Occasionally required to travel throughout MSGCU's service area as business needs require.
  • Exposed to potentially hazardous conditions, such as robbery. Receives detailed instructions and security procedures on an annual basis to minimize risk.
  • This work involves sitting most of the time with brief periods of walking or standing and may occasionally require lifting and/or moving up to 30 pounds.

  • Base hourly pay begins at $16.70 / hour
